Agency Terms & Policies

Effective as of Current Fiscal Year — Dark Door Imaging LLC

Project File Retention & Archiving
To ensure data efficiency, client project files are actively stored for a period of 12 months following the date of final delivery or client inactivity. After this 12-month period, Dark Door Imaging LLC reserves the right to permanently delete files in accordance with our internal storage protocols. Clients are encouraged to download and back up all deliverables immediately upon receipt.
Intellectual Property & Source Files
Upon full payment, the Client obtains ownership of the final approved deliverables (e.g., exported videos, flattened images, PDF documents). However, Dark Door Imaging LLC retains full ownership of all working source files, proprietary methodology, and native design assets (including but not limited to Adobe XD, Figma, Illustrator, Premiere, and Photoshop files). Source files will not be released, sold, or transferred unless a specific "Source File Transfer Agreement" is executed, subject to an additional licensing fee.
Turnaround Time & Deliverables
Our standard turnaround time for routine deliverables is 2 business days. This timeline commences only after all required assets, copy, access credentials, and creative direction have been provided by the Client. Complex projects requiring extended timelines will be outlined in a specific scope of work proposal.
Rush Delivery & Priority Service
Requests for expedited delivery (under 24 hours) are subject to agency availability and approval. Approved rush requests will incur a premium billing rate of $150 per hour. This surcharge ensures priority allocation of agency resources to meet the accelerated deadline.
Scope Revisions & Additional Work
Quotes provided are based on the original scope of work. Any requests for changes, revisions, or additions that fall outside this original scope will be treated as a new request and may be subject to additional billing. Dark Door Imaging LLC will notify the Client of any potential overages prior to commencing the additional work.
Live Revisions & Collaborative Sessions
Real-time collaboration sessions (via video conference or screen share) are available for clients requiring immediate feedback and implementation. These sessions must be scheduled in advance and are billed at a flat fee of $150 per session (up to 60 minutes). Sessions extending beyond one hour will be billed at the standard hourly rate in 30-minute increments.
Third-Party Services & Liabilities
Direct costs associated with third-party vendors and tools—including but not limited to hosting, domain registration, font licensing, SMTP email services, stock footage licensing, and software plugins—are the sole responsibility of the Client. Dark Door Imaging LLC is not liable for service interruptions, data loss, or policy changes enacted by third-party providers.
Payments & Refunds
To reserve time on the agency schedule, adherence to the payment schedule is required. All deposits and payments processed are non-refundable once creative work, research, or strategy development has commenced.
Portfolio & Marketing Rights
Dark Door Imaging LLC retains the limited right to reproduce, publish, and display the completed deliverables in our agency portfolios, websites, social media, and professional presentations for the purpose of demonstrating craftsmanship and agency capabilities. If a Non-Disclosure Agreement (NDA) is required, it must be presented by the Client prior to the project start date.
